This case study highlights how DOT assisted the Ministry of Education to improve its reporting process by creating a simple and effective template for its quarterly reports. The solution provided better visibility of performance and enabled high-value insights that were easily accessible to a range of users.

Challenge

The Ministry of Education’s reporting process was not harmonized, making it difficult to understand the organization’s performance. The reports did not provide clear insights, making it hard for decision-makers to assess the effectiveness of projects.

Solution

DOT followed the ASK - EXPLORE - DISCOVER - ACT process and created a design system to highlight the key content, dynamic navigation, and refined the graphic treatment of progress measures. We produced a simple, smart, and beautiful template for the quarterly report that communicated data related to performance and informed decision-makers. DOT also created a succinct summary report that surfaced the most important data insights and created new summary statistics. We worked with the Ministry to understand the content and level of importance for each audience group and explored ways to tell the story of momentum across project initiatives.

Result

DOT’s solution provided the Ministry with an improved suite of reporting documents that included a full-length report and a summary report. The design system, dynamic navigation, and refined graphic treatment of progress measures made the full-length report copy more manageable. The final solution was provided in editable Google and Microsoft documents that could be easily updated per quarter by the Ministry’s internal team. The improved reporting process enabled better visibility of which work streams were performing well and what needed improvement, allowing the Ministry to have a better sense of performance and inform decision-makers.
